Ratios behind the furniture columns: a 60" round with eight chairs takes about 100 sq ft, a 6' banquet with six chairs about 65, an 8' banquet with eight about 80, and one propane heater covers about 300 sq ft. Add a head table, a bar or a dance area and the counts go down. Send us the guest count and the elements and we will size it.
Surface rules
- Grass. Staked. Call 811 at least two working days before installation to have underground utilities marked; we will remind you.
- Cement or gravel. Weighted with 50-gallon water barrels, one per leg, filled on site.
- All installations. A photo of the site is required before the final quote. If the crew arrives and the site is not ready, $100 of the deposit is retained.
Before sending the photo, check for overhead lines, sprinkler heads and the route the crew will use to bring the tent in.
Questions we are asked
How far ahead should I book?
Book at least 7 days in advance. We will try to help with shorter notice but cannot promise it. Larger tents and peak weekends benefit from more notice; the tents page lists a recommended lead time for each size.
Can a tent go on my driveway or patio?
Yes. Frame tents stand on grass, cement or gravel. On cement or gravel they are weighted with water barrels; on grass they are staked. Send a photo of the surface up front and we will advise. If the crew arrives and the site is not ready for setup, $100 of the deposit is retained.
Do you need to see the site?
A photo is required before we confirm the quote. Text it to (530) 713-7611 or email yctentrentals@gmail.com, or use the upload link we send you. We check the surface, slope, overhead lines and access for the crew.
What happens if it rains or gets windy?
Sidewalls keep rain out. Tents are secured to stakes or 50-gallon water barrels. We strongly encourage clients to follow local weather advisories; in high wind the crew may delay installation or take the tent down for safety. If weather makes the installation unsafe, we reschedule, and if we cannot come out at all, the deposit is refunded. See the rental terms.
Can I reschedule?
Yes. Reschedule free with at least 48 hours' notice before the installation. With less than 48 hours' notice, the deposit is retained. Details in the rental terms.
Is there a deposit?
Yes. A deposit of 20% of the contract total is due at signing and holds the date. It is applied to the total. The balance is due on the day of setup. Electronic payment only: Zelle, Venmo or Cash App.
How do I sign?
Online, from your phone. We email a link; you review the quote and the terms, type your name, sign with your finger, and upload a photo ID so we know the person signing is you. You get a PDF copy right away.
Who installs the tent?
A crew we contract and manage. Their trucks are unmarked. You contract only with us, and we are reachable by phone until the tent comes down.
Do you provide a certificate of insurance?
Yes, on request. Tell us the venue's requirements and we will send it.
Do I need a permit?
Sometimes. Many cities and counties require a permit or fire-authority approval for larger tents, tents with sidewalls, or tents with heaters under them, and thresholds vary by jurisdiction. Permits are the customer's responsibility. Check with your city or county fire authority early; we supply tent specifications and flame-certificate documentation on request.
How much does a tent cost?
Every quote is built on the tent, the size, the site and what goes under it. We do not publish prices. Send the date, city and guest count and we reply within 24 hours.
Can you do the tables, chairs and heaters too?
Yes. Banquet tables, rounds, white folding and chiavari chairs, and propane patio heaters are all sourced, delivered and managed under the same contract. See tables, chairs and heaters.
Where do you work?
Our core area is Sacramento north to Oroville, about a 50-mile radius centered on Antelope, CA. We travel beyond it; tell us the site and we will quote it.
